How to cancel, what you get back, what happens to your data afterwards, and exactly how long we keep each kind of record. No contract, no notice period, no cancellation fee. If you just want the short version: cancel any time, keep access until the period you paid for ends, and your data waits for you for 12 months in case you come back.
01 How to Cancel
Two ways, and neither involves a phone call or a retention script.
From your account settings, under Billing, at any time.
There is no contract, no notice period, and no cancellation fee. You do not need to give a reason, though we will ask, because it is the only way we find out what to fix.
02 What Happens When You Cancel
Cancelling stops the next renewal. It does not cut you off mid-cycle.
You keep full access through the end of the period you have already paid for.
Campaigns keep running until that date, so nothing stops mid-sequence and no customer gets a half-finished conversation.
At the end of the period, sending stops, your messaging number is released back to the carrier, and the account goes dormant. Your data stays put for 12 months so you can export it or pick up where you left off.
No further charges are made after cancellation takes effect.
One thing to do before you go
Release of your messaging number is permanent, even though your data is kept. If you want to keep that number, port it out before your access period ends. Email support and we will help with the port.
03 The 60-Day Guarantee
If PrintClose™ has not generated more value than it cost you within 60 days of your first paid charge, email support@printclose.com and we will refund everything you have paid. One guarantee refund per customer.
What qualifies
The guarantee requires that you actually used the Service. To qualify, within your first 30 days you must have:
Imported a customer list of at least 100 contacts, and
Had at least one campaign live and sending.
Both are done with you during your onboarding call, so meeting the conditions takes no extra effort. We are not asking you to jump through hoops. We are saying we cannot produce results from a login nobody opened.
How to claim
Email support from the address on your account any time before day 60. No form, no exit interview, no "let me transfer you." Refunds are issued to the original payment method and typically appear within five to ten business days.
04 Refunds Outside the Guarantee
Monthly subscriptions are non-refundable for the current period once charged, after the 60-day guarantee window closes.
Annual subscriptions are covered by the same 60-day guarantee from the first charge. After that, they are non-refundable except where law requires otherwise. Cancelling stops the next annual renewal.
No prorating. We do not refund partial periods, unused time, or unused messaging credits.
Exceptions. If we made a billing error, charged you after a cancellation took effect, or an extended outage prevented you from using the Service, tell us and we will make it right. That is not a policy exception. It is just fair.
05 Messaging Credits
If your plan includes messaging credits or you purchase credit packs, the following applies:
Included credits reset each billing period and do not roll over.
Purchased credit packs do not expire while your account is active.
Unused credits of any kind are not refundable and have no cash value.
When your subscription ends, remaining credits are forfeited.
Messages already sent cannot be refunded, since the carrier has already been paid for delivery.
06 Billing Changes
PrintClose™ is one all-inclusive plan, so there are no tiers to upgrade or downgrade between. The only change is how often you pay.
Monthly to annual takes effect immediately. Any unused portion of your current month is credited toward the annual charge.
Annual to monthly takes effect at the end of your annual term.
If you are on launch or founding-member pricing, switching billing frequency does not end your price lock, as long as your subscription stays continuously active.
07 Failed Payments & Suspension
Cards expire, and we would rather retry than shut you off.
We retry a failed charge over several days and email you each time.
Day 7 after the first failure, sending is paused. Your data and settings stay intact.
Day 14, the account is suspended and access is limited to updating billing.
Day 30, the account is treated as cancelled and the data retention schedule below begins.
Update your card at any point in that window and everything resumes where it left off, including paused campaigns.
08 Exporting Your Data
Your data is yours and you can take it with you. Export is available any time while your account is active, and throughout the 12 months after it ends.
Contacts and full customer history, as CSV.
Message history, as CSV.
Consent and opt-out records, as CSV. Keep this one. If you move to another platform, you will need it.
Quotes, jobs, and production history, as CSV.
If you have trouble exporting after your subscription ends, email support and we will pull it for you at no charge.
09 Data Retention Schedule
Here is exactly what we keep and for how long, measured from the day your subscription ends. Some of it is longer than you might expect, and the reasons are given so you can see they are not arbitrary.
Account and Member Data: kept for 12 months, then permanently deleted. Reactivate within that window and everything is restored as you left it.
Contact Data, meaning your customer lists: same schedule. Kept for 12 months so your list is waiting if you come back, then deleted.
Quotes, jobs, and production history: same schedule. Deleted at 12 months.
Message content: 18 months from the send date, then deleted.
Message delivery logs, meaning metadata such as number, timestamp, and delivery status, with no content: 4 years, matching the federal limitations period for Telephone Consumer Protection Act claims. This record is what defends you if a complaint arrives.
Consent attestations and opt-in records: 5 years from the last message sent to that contact, for the same reason.
Opt-out, unsubscribe, and suppression records: kept indefinitely, and this one we will not delete on request. Deleting it would allow someone who asked to stop being contacted to be contacted again.
Billing and tax records: 7 years, as required by tax law.
Backups: rolling 35 days. Deleted data can persist in a backup until it rolls off, after which it is gone.
Before anything is deleted
We email the account owner at least 30 days before the 12-month mark. Reactivate before the deadline and nothing is lost. Do nothing and your account data is permanently deleted on schedule.
Why compliance records outlive your account
If a former contact files a complaint about a message you sent two years ago, the consent record and the delivery log are the evidence that resolves it. Deleting them the day you cancel would leave both of us defenceless. Everything that is not a compliance record is deleted at 12 months.
You do not have to wait. To have your data deleted sooner, email support@printclose.com. We will honor it for anything not covered by a legal or carrier retention requirement.
10 If We Close Your Account
We may suspend or terminate an account for non-payment or for a breach of the Acceptable Use Policy, including messaging contacts without consent.
Non-payment follows the schedule in section 07, and you can restore the account at any point in that window.
Policy breach may mean immediate suspension without notice where there is legal, regulatory, or carrier risk. We will tell you why.
You still get your data. Export access is available in either case, on the same retention schedule as a normal cancellation. We do not hold data hostage.
No refund is issued for a termination caused by a policy breach.
11 Chargebacks
If something is wrong with a charge, email us first. We would genuinely rather refund you than fight a dispute, and we can usually resolve it the same day.
Filing a chargeback without contacting us costs us a fee on top of the disputed amount and may result in the account being suspended while the dispute is resolved. If the guarantee applies to you, you do not need a chargeback. Just ask.
